Challenge

As the event concierge manager, I was responsible for being an expert on the participants, the program, and what the city has to offer around the venue. Then, I had to pass on this knowledge to a team of volunteers and experience concierges, all while matchmaking participants with VIP guests.

Approach

Three months before the event, I researched some of its pasts participants, specifically the VIP guests, to get an idea of their profile. Two months before the event, I researched businesses in the neighbourhood around the venue, and selected the best that Montreal has to offer. With that knowledge, I created an interactive map for VIP guests of all the businesses that they might need while in the city. A recruitment campaign was also launched for volunteers. As we got to within a month of the event and the program was confirmed, I trained teams of volunteers and experience concierges to be experts in the event. In the week before the event, I used the updated research of the participants to recommended personalized networking opportunities to VIP guests based on their responses to a survey.

Outcomes

VIP guests appreciated the expertise and care that we showed them over the two days of the event. The business matchmaking prior to the event helped them to save time when networking at the conference. Many were impressed with the on-site support of the conciergerie, and those who were in Montreal for the first time welcomed the interactive map.

Best moment

Meeting VIP guests in person and seeing their faces light up with gratitude for all the hard work we did for them behind the scenes.
